Booking Terms, Cancellation Policy

1. Total Cost & Booking Deposit
The total cost of the retreat is £2,200 per person (past early bird). To secure your space, a deposit of £700 is required at the time of booking.

2. Deposit & Activity Commitments
Because this retreat is an exclusive, limited-capacity event featuring bespoke itineraries, this £700 deposit represents a genuine pre-estimate of the host's immediate, non-retrievable overheads. Following the cooling-off period detailed in Section 3, these funds are instantly committed to secure third-party activity bookings, external facilitation and administrative costs.

3. Voluntary 14-Day Cooling-Off Period
To ensure complete peace of mind, a voluntary 14-day cooling-off period applies from the exact date your deposit is paid:

• If the participant cancels within these 14 days, a full refund of the £700 deposit will be issued, minus the non-refundable Stripe processing fees (typically 1.5% to 3.5%).

• Following the expiration of this 14-day window, the deposit becomes completely non-refundable and non-transferable, subject to the standard cancellation tiers below.

4. Merchant Processing Fees Notice
Please note that payment processors (including Stripe) do not return transaction fees when a refund is issued. Therefore, any participant-initiated refunds issued under this contract will be deducted by the exact percentage fee charged by the payment processor. The host will not personally finance a credit card processor's retained fees resulting from a participant's choice to cancel.

5. Tiered Cancellation Schedule (Post-Cooling Off)
If you need to cancel your attendance after your 14-day cooling-off period has expired, you must notify the host in writing. The remaining balance of £1,500 will be treated as follows based on when your written notice is received:

• Cancellations 90 days or more prior to commencement (Before January 2027): You will be released from paying the remaining balance. If you have already paid the balance, the £1,500 will be refunded to you, minus the original Stripe processing fees incurred on that balance payment. The £700 deposit remains entirely non-refundable.

• Cancellations between 60 and 89 days prior to commencement: You will be liable for 50% of the remaining balance (£750). Any balance payments made above this amount will be refunded minus Stripe processing fees. Alternatively, you may transfer your spot to a replacement participant found by you, subject to the host's approval.

• Cancellations 59 days or fewer prior to commencement: No refunds or credits will be issued under any circumstances. You remain legally liable for the full £2,200 contract value, as all hosting, catering, third-party activity vendors, and spaces are fully locked in by this date.

6. Mitigation and Reselling Policy
In the event of a participant-initiated cancellation, the host will make reasonable economic efforts to re-market the space to a waitlist or the public. If the host successfully resells the exact space to a new paying participant, the original participant will receive a refund of their balance payments made, minus a £100 administrative fee and minus all Stripe processing fees incurred across the transactions. The original £700 deposit remains non-refundable to cover the administrative burden of re-marketing.

7. Mandatory Travel Insurance
We strongly advise all participants to purchase comprehensive travel insurance that includes "Cancel for Any Reason" (CFAR) coverage at the time of booking. This ensures you are financially protected against unexpected emergencies, travel disruptions, or personal conflicts, as the retreat host cannot personally finance your personal losses.

By submitting your deposit, you confirm you have read, understood, and explicitly agree to be bound by these terms and conditions.
